Position Summary
The Project Accountant will lead project-level financial management across multiple active construction and real estate development projects, while also supporting select business development initiatives.
This role is responsible for QuickBooks management, AIA billing, job cost tracking, and financial reporting, in addition to providing operational and executive support to leadership.
This is a high-impact, hands-on role requiring strong construction accounting expertise and the ability to operate in a fast-paced, detail-driven environment. Candidates should meet at least 90% of the qualifications listed below. This is not a training position.
Key Responsibilities
Construction Accounting & Project Financials
Maintain accurate and up-to-date financial data in QuickBooks
Manage AIA billing (G702/G703), including preparation, review, submission, and reconciliation with field operations
Process and track subcontractor requisitions and vendor invoices
Review, prepare, and validate change orders (PCOs/COs), ensuring complete documentation
Maintain accurate job cost tracking and project-level financial reporting
Coordinate with Project Managers to align budgets, contracts, and billing
Monitor accounts receivable and follow up on outstanding payments
Prepare and process disbursements, including lien waivers and compliance documentation (MS 365, Google Drive, and/or Procore)
Operations & Executive Support
Provide direct support to executive leadership on financial and operational matters
Assist with internal reporting, financial summaries, and project tracking
Support process improvements across accounting and operational workflows
Coordinate with internal teams and external partners (banks, vendors, subcontractors)
Assist with special projects and company-wide initiatives
Assistance with prospective new hires
Business Development
Identify and pursue new project opportunities and leads
Prepare and draft RFP/proposal submissions, utilizing cost estimates and input from the estimating team to develop complete and competitive packages
Attend networking events, industry functions, and outreach meetings to represent VASE
Build and maintain relationships with prospective clients, partners, and industry stakeholders
Participate in meetings with prospective clients and support project pursuits from initial contact through proposal
Collaborate with leadership to grow VASE’s project pipeline
Required Qualifications
Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
Minimum 6+ years of construction accounting experience (REQUIRED)
Demonstrated expertise in:
QuickBooks (Online)
AIA billing (G702/G703)
Change order management
Strong understanding of construction workflows, including subcontractor billing
High attention to detail with strong organizational and problem-solving skills
Ability to manage multiple projects and deadlines simultaneously
Excellent communication and interpersonal skills
High level of professionalism and confidentiality
Background check required
Preferred Qualifications
Experience with construction management or general contracting firms
Familiarity with Procore or similar construction management platforms
Experience with prevailing wage, certified payroll, and CHRO compliance
Ability to work closely with leadership and contribute to operational strategy
